Terms and Conditions


This agreement is for stationery and / or design services provided by SPLENDID SWAN (“the designer”) for (“the client”) (“collectively named as the parties for the purpose of this agreement”) The services may also include other tasks which the parties agree on.

Upon placing an order and making a deposit / full balance, you are signifying your acceptance of these terms and conditions.


1.1 All logos, illustrations, artwork, graphic designs, samples, products and photography remain the property of Splendid Swan and may not be used, reproduced or distributed without written consent from Splendid Swan.

1.2 The client agrees to ensure that any images or text supplied does not infringe on any copyright. This includes photographs, drawings, hymns, poems and song lyrics.

1.3 Splendid Swan reserves the right to use any customer designs on its website, partner sites, social media channels or any marketing literature as it sees fit.


2.1 All samples remain the intellectual property of Splendid Swan and must not be reproduced or replicated in any way.

2.2 Samples are pre-printed and will therefore not be personalised with your specific details unless otherwise agreed by Splendid Swan. A design amendment fee may be charged for any samples that are personalised.

2.3 Samples are for illustrative purposes only and subsequently there may be colour variations between samples and final orders. Samples are printed in house and some final orders are sent to external printers, therefore there be slight variances in colour, paper weights and texture.


3.1 Illustrations are created using a combination of traditional hand painted methods and digital design. An estimated lead time will be advised at the start of the project. If the client adds in additional illustration requests, requests more than 3 rounds of amendments, or makes significant changes to the brief to the one initially agreed upon, this will cause delays and increase the turnaround time.

3.2 All illustrations will be created using the photo the client supplies. The photo should be high resolution and well lit. Photos of venues should be taken from the angle that the client wants illustrating.

3.3 Both watercolour and ink drawings will be created using my usual style. Please look at the illustrated products on my website and my Instagram account to get a feel for my style. I am unable to copy the style of other artists and illustrators, or provide artwork that is tremendously different to my usual style.


4.1 On completion of design and illustration work, Splendid Swan will send the client digital proofs for approval. These will be sent via email or electronic messaging service.

4.2 The proofs are created based on the information supplied by the client. Whilst every effort is made to eliminate mistakes, Splendid Swan does not offer a professional proof-reading service. Therefore, it is the responsibility of the client to check proofs. Please thoroughly check all times and dates, addresses, phone numbers and email addresses. The client should also check for any spelling and grammar errors. It is recommended that after checking the proofs, the client asks another person to also check for any errors within the text.

4.3 To minimise amendment and the need for reproofing, the information you supply for your wedding stationery must be your final draft with correct content including spellings, spacing, dates, timings and grammar.

4.4 Once the client has approved proofs, the artwork will be sent to print. Splendid Swan takes no responsibility for any errors on printed or digital products created from these files, after they have been approved by the client, and will not be held liable for any costs incurred. If the client requests any changes to artwork, after the files have been sent to print, this will incur a re-print charge. If the client finds any errors or spelling / grammar mistakes, after the artwork has been sent to print, this will also incur a re-print charge.

4.5 When checking colours, please note that any colours on screen or in photos may vary slightly from the printed end product due to backlighting on computer screens and mobile devices. Colours can also vary between print runs and between products. Colours are affected by the substrate they are printed on, therefore colours on table plans and signage may differ to that of printed invitations.

4.6 Physical proofs will be charged at a sample rate for each proof / colourway.

4.7 After receiving the first proof, the client should check the design and information carefully. The client should then contact Splendid Swan with a list of any required amendments. The pricing structure includes 3 rounds of amendments to artwork. Further revisions will be charged at £10 per list of amendments.



5.1 Please note: Wax seals, belly band, vellum wraps and torn edge paper are hand finished and as such there may be slight variances in the dimensions or visual aesthetics.

5.2 Envelopes are included with most stationery, please refer to individual product listings or your invoice for confirmation.


6.1 All quotes are estimates, and the final invoice may differ if items are added or removed.

6.2 All quotes are valid for 30 days from the date of issue. If more than 30 days has passed since quotation, the client should request a requote before ordering.

6.3 Any discounts applied are based on quantities specified by the client at that time. If quantities are reduced, the discount will be reduced or removed.


7.1 A 50% non-refundable deposit is due before any design works begins. This covers the cost of design work, administration and some raw materials required to progress with the order. The remaining balance is due before the items are shipped. If the client has requested multiple shipments, the balance will be due before the first shipment.

7.2 In some instances, where the client and Splendid Swan agree, a payment plan will be arranged for the balance of the invoice. It is the client’s responsibility to ensure each invoice is paid on time. Any invoices or part invoices paid late, will delay / extend the turnaround time of the project.
All invoice should be paid within 30 days, or before the first item is shipped if this is sooner than the 30-day period.

7.3 The preferred payment method is BACs.
Payments can also be paid through www.splendidswan.co.uk using Amex, Visa, Maestro, Mastercard and Paypal.

7.4 For international clients, a custom product listing will be created on the website. The client will be sent the link and they should place their order using whatever card is most convenient.

7.5 All prices stated are in GBP.

7.6 Splendid Swan reserves the right to make alterations to prices as a result of any pricing errors on its website, 3rd party marketplaces or in any marketing literature.



8.1 All dispatch dates and turnaround times are estimates. These may alter based on availability of supplies, printer turnaround times, the proofing and approval process and the speed in which the client responds to emails or supplies information.

8.2 Delivery rates vary depending on the size and weight of the parcel.

8.3 Samples are usually sent by Royal Mail. All final orders are sent by courier, Royal Mail or Parcelforce depending on the value, weight and size of box.

8.4 The client should open and check the parcel within 3 days of delivery. In the event of any damaged goods received, the client should take a photo and send this to Splendid Swan via email with a description of the problem.

8.5 If the client has ordered multiple item types, these may be sent in different packages and on different dates.

8.6 A correct delivery address should be provided by the client upon placing their order. It is the client’s responsibility to ensure any delivery information supplied is correct, and they should notify Splendid Swan of any changes in address immediately.

8.7 Splendid Swan chooses express delivery options where appropriate and therefore does not take responsibility for any delays to orders after they have been dispatched, due to unforeseen postal or courier delays.

8.8 For international orders, the client is responsible for paying any customs and import taxes and charges.
Please note: The estimated delivery date for international orders is an estimate and may vary by a few days.



9.1 Splendid Swan offers a cooling off period, and as such, the client may cancel any order placed within 48 hours of placing the order.

9.2 For any order placed through the website, full payment is required at the time of booking. For any orders cancelled after 48 hours, design work will have commenced. Therefore a 50% refund will be due to the client. The 50% held covers the cost of design work, administration and materials ordered to carry out the client's project.

10.2 Splendid Swan agrees not to disclose, divulge or reveal and confidential or personal information which has been obtained, except as stated in the privacy policy above.



11.1 Splendid Swan will make every endeavour to ensure the client is satisfied with all works undertaken. If for any reason, the client is not satisfied with works carried out, the client agrees to notify Splendid Swan via email and give the designer the opportunity to rectify the works, before online reviews are published. This includes but is not limited to reviews on Google, social media and online marketplaces.
