Planning a Barn Wedding: 15 Things to Consider Before You Book

Planning a Barn Wedding: 15 Things to Consider Before You Book

The combination of pretty countryside settings, a relaxed ambience that still feels luxurious and the ability to fully customise a space has sparked an unprecedented demand for barn wedding venues in the UK. But while barn weddings look effortlessly beautiful, there are lots of practical details to consider before you start planning a barn wedding – from choosing the right barn and season, to heating and lighting, do you go dry hire or fully serviced and of course, how to find barn wedding stationery to complement your venue.

1. How to choose the right barn wedding venue for you

Not all barn venues are the same – in fact, each is unique in character and style which is one of the things I love most when I am illustrating wedding barns. When planning a barn wedding, you should think about the overall look, feel and ambience you want to create, and would a traditional rustic barn be more suited or a more modern, contemporary space?

Of course, you will need to evaluate the venue capacity, function spaces and on-site accommodation. Don’t forget to look at little extras like whether there is a honeymoon suite and a dedicated pamper room for hair and makeup.

Most barn venues are exclusive-use and host multi-day weddings, which are great for weekend long celebrations. You’ll also find that most have indoor and outdoor ceremony spaces to work with the unpredictable English weather.

2. What season is best for barn weddings?

Barn wedding venues show remarkable versatility across the changing seasons. In summer, the experience extends outdoors to sun-dappled courtyards, walled gardens, and lawn games.

As autumn and winter settle in, you can lean into the cosy charm of wooden beams and vaulted ceilings and play around with soft lighting from fairy lights or battery powder candles.

The seasonality can be carried through to your barn wedding stationery too, with seasonal colours and flowers incorporated into the design.

3. Choose your barn wedding stationery early

Wedding barns lend themselves well to bespoke wedding stationery, there is lots of interesting texture, soft tones and unusual shapes which are fab for watercolour illustrations. They are often surround by countryside, wildflowers or landscaped gardens, which can also be included in the illustrations. I love to paint animals too – so can happily incorporate local wildlife or farm animals into the wedding stationery design.

As a professional wedding illustrator, I can create bespoke barn wedding invitations for you, plus items for the day of your wedding such as welcome signs, table plans, menus, place cards and order of service booklets.

When should you book your wedding stationer? If you’re looking for bespoke barn wedding invitations, I recommend booking your stationery designer as soon as you have secured your venue. This allows plenty of time for custom creations, the hand painted artwork and revisions.

4. Consider guest comfort when planning a barn wedding

If you're planning a seasonal barn wedding, don't forget to think about your guests' comfort. Barns are wonderful spaces that embrace the outdoors, so a few thoughtful touches can make a big difference to everyone's experience.

For summer weddings, help guests stay cool with paper fans, an ice cream cart and a hydration station filled with refreshing flavoured water, such as cucumber and mint or lemon and elderflower. I've recently introduced a collection of beautifully printed wedding fans, personalised with your order of the day and illustrated to coordinate with your wedding stationery. Finished with elegant, coloured tassels, they're not only practical during the ceremony but also make lovely keepsakes for your guests to take home. You can carry the same illustrations through to custom ice cream menus, flavour signs for your hydration station or a beautifully illustrated signature cocktail sign, creating a cohesive look throughout your day.

Winter barn weddings have a charm all of their own. As the evenings draw in and fairy lights begin to twinkle, you can embrace the cosy atmosphere by providing soft blankets, a hot chocolate station with all the toppings or even a marshmallow toasting station around an outdoor fire pit. These thoughtful details will keep guests warm, encourage them to relax and add to the welcoming atmosphere that makes winter barn weddings so magical.

5. Make the most of your barn’s setting

Couples often choose a barn wedding for the surrounding natural beauty – meadows, wildlife, lakes and riverside views, wooded areas and charming courtyards. These are all great backdrops for beautiful wedding photos and can be incorporated into your barn wedding stationery too.

6. Lean into wildflowers

One of the joys of planning a barn wedding is leaning into the natural wilderness around it. Wildflowers are great for barn weddings. They feel relaxed yet elegant and are available in a plethora of beautiful colours. The loose, varying shapes allow for an ‘effortlessly styled’ look and incorporating tall stems such as delphiniums and snapdragons creates depth to your floral displays. Sweet peas, coneflowers, daisies, stocks and dahlias are popular in addition to the more traditional garden roses and peonies.

7. Personalise details when planning a barn wedding

The details guests notice, love and remember are often the highly personalised ones. Think bespoke signage, illustrated cocktail menus are bar signs and custom stationery for your table styling. Illustrated menus and place cards with wax seals add a luxury finish to your place settings and make lovely keepsakes for guests.

You can incorporate handy, practical stationery such as maps of the grounds which can be printed on itinerary cards or on signage. Order of events signs are super useful too, ensuring guests don’t miss any important moments.

8. Dry hire or fully serviced?

When planning a barn wedding, it's worth understanding the difference between a dry hire and a fully serviced barn. A dry hire venue gives you exclusive use of the space, but you'll need to arrange everything yourself, from catering and furniture hire to tableware, lighting and entertainment.

This offers complete creative freedom, making it ideal for couples who want to personalise every detail. A fully serviced venue, on the other hand, includes many of these elements as part of your package, often with an experienced events team to coordinate the day. While there's less to organise, there may be fewer options to customise, and less freedom when choosing suppliers.

Think about how hands-on you want to be with planning, your budget and how much flexibility is important to you before deciding which option is the best fit.
If you are going for dry hire, you should carefully audit what is included, so there are no surprise costs later. The cost of crockery and cutlery alone can add up, so spreadsheets are your best friend here, and you should get quotes from suppliers early on.

You can help keep some costs down by choosing caterers that also supply tableware, sourcing all your furniture, linens, and decor from a single supplier to negotiate better rates, opting for sharing platters instead of plated meals or choosing a barn venue that doesn’t charge corkage.

9. Flexibility when choosing suppliers

If your wedding barn is dry hire, you’ll have more flexibility to work with who you like. You can still ask if the venue has any recommended suppliers for peace of mind – this could be caterers, lighting suppliers, florists or DJs. You should also check if there are any rules on fireworks, confetti etc.

10. Lighting your wedding barn

Adding some soft ambient lighting, helps create a cosy ambience as the evening unfolds. You should check with your venue around what lighting is permitted, but incorporating festoon lighting, fairy lights and soft uplighting can add to the romantic glow of the barn. If you're viewing a venue during the day, be sure to ask how the space looks after dark, as thoughtful lighting can have a huge impact on both the ambience and your wedding photographs.

11. Helping guests with travel and parking

Guests will need to plan their journey, so be sure to share travel, parking and taxi information with them. You can these details to the guest information cards accompanying your barn wedding invitations, or to your wedding website if you have one. If your barn is in a remote location, you could provide a minibus, if guests are travelling from the same place. You can also advise if there is free parking and whether it’s OK to leave cars at the venue overnight.

12. Acoustics and sound considerations

Barns are full of character, but their high ceilings, exposed beams and hard surfaces can sometimes affect the acoustics. Music, speeches and guest conversations may echo more than they would in a traditional venue, particularly in larger open spaces.

When planning a barn wedding, ask your venue whether they have any recommendations for sound systems or experienced DJs and bands who are familiar with the space. If you're planning live music, it's also worth checking whether there are any sound restrictions or curfews in place. Good acoustics and the right audio setup will ensure your guests can enjoy every speech, song and special moment.

For the ceremony itself, having printed order of service booklets, allows you to print the words to readings, which can be useful for guests at the back of the room, especially if there are no microphones in use.

Planning a barn wedding is all about finding the balance between beautiful styling and practical planning. From choosing the perfect venue and suppliers to thinking about guest comfort, lighting and those all-important finishing touches, a little preparation will help your day run seamlessly. The beauty of a barn wedding is that no two celebrations are ever the same, giving you the freedom to create a wedding that reflects your personality and style and is unique to you. By embracing the character of your venue and carrying your chosen aesthetic through every detail, including your wedding stationery, you'll create a celebration that's not only unforgettable for your guests, but a joy to look back on for years to come.
